ScholarSummit Events – Terms & Conditions

  1. Registration & Payment

1.1 Eligibility: Registration is open to professionals, researchers, students (with valid ID), and sponsors aged 18 or older.
1.2 Fees: All fees are stated in USD and exclude local taxes or VAT (where applicable).
1.3 Payment Methods: We accept credit/debit cards, PayPal, bank transfers, and UPI (India). Full payment is required at time of registration.
1.4 Confirmation: A confirmation email with an e-ticket will be sent within 48 hours of successful payment. Please present this e-ticket (printed or digital) for on-site check-in.

  1. Cancellation & Refund Policy

2.1 Cancellation by Attendee:

  • 120+ days before event start: 80% refund
  • 90–119 days before event start: 50% refund
  • Less than 90 days: No refund (registration may be transferred per Section 2.2)
    2 Transfer of Registration:Registrations may be transferred to another individual up to 30 days prior to the event by submitting written request to admin@scholarsummit.org.
    2.3 Cancellation by Organizer: In the unlikely event ScholarSummit cancels the event, registrants will receive 100% refund of registration fees. The organizer’s liability is limited to such refund.
  1. Submissions & Intellectual Property

3.1 Abstracts & Presentations: All abstracts and presentation materials remain the intellectual property of the authors. By submitting, you grant ScholarSummit a non-exclusive license to publish your abstract in digital and print materials.
3.2 Recording Rights: ScholarSummit may record sessions. By attending, you consent to being recorded and understand recordings may be shared with participants post-event.
3.3 Use of Materials: Unauthorized recording, duplication, or distribution of presentations, slides, or workshops is prohibited without prior written consent from the presenter and ScholarSummit.

  1. Code of Conduct

4.1 Professionalism: All attendees, speakers, sponsors, and staff must conduct themselves respectfully. Discrimination, harassment, or any form of abuse will not be tolerated.
4.2 Non-Discrimination: ScholarSummit is committed to inclusivity regardless of race, religion, gender, sexual orientation, disability, or nationality.
4.3 Enforcement: Violations may result in removal from the event without refund. Incidents should be reported to onsite staff or via conduct@scholarsummit.org.

  1. Privacy & Data Protection

5.1 Data Collection: We collect name, affiliation, contact information, and dietary preferences (if provided during registration).
5.2 Use of Data: Data is used solely for event logistics, communications, and post-event materials. We do not share personal data with third parties except sponsors with your explicit opt-in.
5.3 GDPR & CCPA Compliance: For EU and California residents, you may request data access or deletion by emailing privacy@scholarsummit.org.

  1. Liability & Indemnification

6.1 Attendee Liability: Attendees participate at their own risk. ScholarSummit and the venue are not liable for personal injury, loss, or damage to property.
6.2 Force Majeure: Organizer is not responsible for delays or cancellations due to acts of God, pandemics, government actions, or other unforeseeable events.
6.3 Indemnification: Attendees agree to indemnify, defend, and hold harmless ScholarSummit, its officers, employees, and agents from any claims arising out of their conduct.

  1. Health & Safety

7.1 Venue Guidelines: Attendees must comply with all venue health and safety protocols, including fire exits, capacity limits, and hygiene measures.
7.2 COVID-19 Policy: If local regulations require, proof of vaccination or negative test results may be requested. Masks and sanitizers will be provided onsite.

  1. Third-Party Links & Sponsors

8.1 External Content: ScholarSummit website or materials may include links to third-party sites. We are not responsible for their content or privacy practices.
8.2 Sponsor Materials: Any claims made by sponsors in exhibition booths or advertisements are the sponsors’ responsibility.

  1. Amendments

9.1 Policy Changes: ScholarSummit reserves the right to update these Terms & Conditions. Registrants will be notified of material changes via email at least 14 days prior to the event. Continued participation constitutes acceptance of the updated terms.

  1. Governing Law & Dispute Resolution

10.1 Jurisdiction: These Terms & Conditions are governed by and construed in accordance with the laws of India. Any legal action or proceeding arising under or relating to these Terms shall be brought exclusively in the courts of competent jurisdiction sitting in Hyderabad, Telangana, India.

10.2 Dispute Resolution:

  • Arbitration:In the event of any dispute, controversy, or claim arising out of or relating to these Terms, the parties agree first to attempt to resolve the matter amicably through good-faith discussions.
  • Binding Arbitration:If those discussions do not result in a mutually acceptable resolution within 30 days, the dispute shall be submitted to binding arbitration under the rules of the Indian Arbitration and Conciliation Act, 1996. The seat of arbitration shall be Hyderabad, Telangana, India, and the language of the arbitration shall be English.
  • Final Award:The arbitral award shall be final and binding on all parties, and judgment on the award may be entered in any court of competent jurisdiction.
