1. Overview

This Cancellation & Refund Policy sets out the terms under which registrants may cancel their participation in Scholar Summit events and, where applicable, receive a refund. All requests must be submitted in writing to contact@scholarsummit.org.

2. Cancellation Deadlines & Refund Amounts

• Virtual-Only Registrations: Non-refundable at any time.
• Transaction Fees: Processing and banking fees are non-refundable.

3. How to Submit a Cancellation
4. Email: Send your full name, registration ID, event name, and new registrant details (if transferring) to contact@scholarsummit.org.
5. Confirmation: You will receive an acknowledgement within 3 business days.
6. Processing Time: Refunds (where due) are processed within 30 days of approved cancellation via the original payment method.
7. Registration Transfers

• Eligible Period: Transfers permitted up to 30 days before event start.
• Process: Email the original registrant’s name and the new attendee’s full details to contact@scholarsummit.org.
• Fee Adjustment: If the new registrant’s rate differs (e.g., standard → early-bird), the difference must be paid; no additional refund if cheaper.

5. Event Postponement or Cancellation by Organizer

• Postponement: If an event is postponed, registrations automatically transfer to the new date. You may request a full refund within 14 days of postponement notice.
• Cancellation: Should Scholar Summit cancel an event entirely, registrants will receive a 100% refund of registration fees (excluding transaction fees). This refund is the sole liability of Scholar Summit.

6. Special Circumstances & Force Majeure

In the case of travel bans, government restrictions, or other force-majeure events (e.g., natural disasters, public health emergencies):

• Transfer Option: Registrants may transfer to a future event at no penalty, regardless of notice period.
• Refund Option: If transfer is not feasible, you may request a full refund by emailing contact@scholarsummit.org within 14 days of the force-majeure declaration.

8. Governing Law

This policy is governed by the laws of India. Any disputes arising under this Policy will be subject to the exclusive jurisdiction of the courts in Hyderabad, Telangana, India.
